Author Offprint Orders

As the authors publishing in our Journals do not receive any monetary compensation, the Journals provide the authors with 2 free copies of the issue in which the article appears, as well as 25 individual offprints of the article (for articles written by more than one author, only the first listed author will receive the 2 issues and free offprints). The Journal pays for the gratis 25 offprints as part of this agreement.

The author has the option to order additional offprints and/or copies of the issue at his/her own expense. All orders must be placed prior to the files being sent to the printer. No additional offprints may be ordered once the issue has gone to press. It is imperative that the authors are aware of this.

Once its been determined, the Editor should notify the author of the page count of the article (can be approximated from the pdf), as the cost of ordering additional offprints is based upon the page length of the article, and the number of additional offprints the author would like to order.

Each first-listed author should be provided an Author Offprint Order Form. This form gives detailed instructions on calculating the cost of additional offprints, as well as providing the Coordinator with the shipping address and contact phone number for their order. Even if the author does not with to order additional offprints, it is imperative that the form be returned. It is up to the editors to follow up with the authors, as all author offprint forms must be submitted to the coordinator before the issue can go to the printer.

Authors may order up to an additional 225 offprints of their articles using the pricing information provided on the form. If an author wants to order more than that amount, the Coordinator must be informed so that a separate pricing quote can be obtained. Our printer, Joe Christensen, Inc., runs the offprint orders on a small press. Once the quantities exceed 225 copies, the orders must be run on a larger, more expensive press. Thus, contrary to what you’d expect, the author’s cost per page for large orders increase substantially. Authors can email the Coordinator directly for further details.

Offprints are printed AFTER the issue has been completed, and then shipped to the authors by UPS ground. The author will not receive the offprints/copies of the issue until approximately 2 weeks after the issue has been printed.

If you have an issue with a particularly large number of authors (ie. Student issue, symposium issue) and would like to offer the authors a reduced number of free offprints, please inform the Coordinator as soon as possible. The offprint order forms can be amended to reflect a reduced number of free offprints, with the option remaining for the author to order additional copies at his/her own expense.

IMPORTANT THINGS TO KEEP IN MIND

All offprint order forms must be received before the files can be submitted to the printer! Contact the Publications Coordinator to check on the status of your authors’ orders!

Remember to let the author know the page count of his/her article! This is needed in order for the author to calculate costs should he/she choose to order additional offprints!|

One Offprint Order Form per article! Only first-listed author should receive the offprint order form. It is the first-listed author’s responsibility to place the order for all additional authors. All shipments will be sent to the primary author for distribution to the others.

Remind the authors to submit the form even if no additional offprints are ordered! The form has shipping information and contact phone numbers, which are needed to ship the free offprints and copies of the issue!
