Online Registration Options for Events
If you are planning an event with online event registration, you may use only two University-approved suppliers:
- Eventbrite (Free Events)
- Aventri (Paid Events)
These suppliers are under contract to the University of California and important safeguards are in place to protect the revenue they accept on your behalf. You may not use any other Web site to manage your online registrations if the income will be received by the University.
Departments who wish to set up a Stova account for paid registrations (merchant account) must contact Business Services at inquiries@law.berkeley.edu. Event revenue payments will be processed for deposit to the department’s designated chartstring.
Incoming Revenue for Paid Events Option (Stova)
Expecting incoming revenue for events? We recommend using Stova (FKA Aventri). Stova (FKA Aventri) (External) is a web based all-in-one event management software platform. Core Features include:
- Event Registration: Secure registration modules, ticketing, and eCommerce tracking.
- Planning & Marketing: Tools for managing event agendas, sending marketing campaigns, and tracking attendee engagement.
- Event Formats Support: Capabilities for virtual, hybrid, and onsite or in-person gatherings.
- Analytics & Reporting: Centralized dashboards to measure event return on investment (ROI) and data collection
Stova Fees
Registration service fees and credit card bank fees will be charged to the department chartstring submitted with the Credit Card Merchant setup Request Form. Here is a breakdown of fees:
- Effective June 1, 2026, the department will be charged a service fee of $2.30 per registration, and a 7% transactions processing fee. This applies to all transactions, even those with no registration fee charged (e.g. “scholarship” or comped registrations).
- A department event budget must take into account the campus administrative full costing (AFC) fee of 9% for revenue applied to external revenue from the sale of educational activities (this fee is also applied to deposits of checks or cash for event revenue) and the campus philanthropic allocation fee of 7.5% for gifts applied to sponsorship/gifts.
Free Events
We encourage all event planners to create their own free accounts with Eventbrite (External). Eventbrite offers simple registration pages where fees are not charged. The event planner can custom design the registration page and download registration lists directly.
Non-Event Revenue
Are you expecting a payment from another company that is outside event registrations? Examples such as:
- Revenue-generating activities (Examples: Co-hosting an event with a non-UC affiliated organization, Cost-sharing with a non-UC affiliated organization, etc.)
- Contracts/Agreements with businesses (Examples: Commission on book sales, Royalty payments, etc.)
As of September 2025, Main campus finance has now transitioned into recording all revenue (Wire or check payments) in BFS, so invoices must now be created before a payment is deposited/received from any activities listed above. We can facilitate set-up of the following in BFS in order to process payments received. Below is the steps needed to recording and depositing wire/check payments:
- Creating a Customer Profile (For new customers only)
- Creating the Customer Invoice related to payment received in BFS
- If check is received as payment, Business Services drops the check off to the Cashier’s department to deposit
Please contact us at inquiries@law.berkeley.edu to create a customer profile (For new customers only) and generate an invoice to apply to the payment you’ve received.
Note: Please do not create your own departmental invoice to send to the company.
